How does security work with tRS?

This article outlines how security works and how you can get it set up on your tRS Service.

About Security

tRS can integrate all of your data assets into one organised, structured and easy to consume data warehouse.  In addition, Pivot4Power Users enables reports to be easily built and automated as well as support deep-dive ad hoc analysis down to the transaction level and the insights portal presents this data in an organised structure to support analysis and decision making. 

Very powerful.

Because multiple teams within a retailer use the tRS Service, it is important that the sensitive data is managed and organised into security groups so the right folks have access to the right data.

Security options with your tRS Service

tRS support the following security features:

  • Service Access Groups: 
    • tRS Admin Console - ability to upload external files such as budgets
    • tRS Notification Email - members of the email group for successful updates
    • tRS Pivot4Power Users - access to the data warehouse via MS Excel 
    • tRS Insights Portal - access to the insights portal 
  • Data Access Groups
    • Where access to the data is controlled such as - can only see Australia
  • Module Access Groups
    • Where access to the portal pages is controlled such as HQ Insights 
  • Location Access Groups
    • Where store access to other stores is defined such as My Store Only

This applies too

  • tRS Modules such as the GL Module - typically accessed only by Finance Teams
  • PII or Personal Identification Information such as customer name & contact details typically accessed by e-commerce and marketing teams to support their digital marketing strategies.
  • Retail Stores with a limited view on the KPI's to exclude GP % and GP % metrics

Note:  If you have the Store Module, you will need to decide and instruct tRS via support@theretailscore.com if a store can see:

  • all other stores, or
  • other stores in their territory, or 
  • just their results only.  

How to set up your security

It all starts with your user base as a list in Excel.  Once you have the list of email addresses within your teams that need access to the tRS Service, then

  • Set a column called "Pivot4Power Users" with a "Y" = needs access or "N" = Not
  • Set a column called "Portal Users" with a "Y" = needs access or "N" = Not
  • Portal Module Groups which are the top ribbon options in your portal (with "Y" or "N")
  • Portal Modules which is the first folder under the top ribbon drop down in your portal (with "Y" or "N")
  • Final column for any data filters that need to be applied.
